About the Position

The Payroll Manager (PM) supports Araca’s Accounting Department. The PM is responsible for processing payroll on a company-wide basis, for tracking payroll expenses by location and creating reports as needed for management teams to assist them in improving efficiency. The PM reports directly to the EVP of Finance; s/he will also work closely with the Managers of Retail Operations and Human Resources, as well as the rest of the Accounting team.

Job Responsibilities

Payroll

  • Process weekly and bi-weekly payroll entry with payroll service, meeting their deadlines.
  • Coordinate with Operations Department to receive complete sales staff information for new hires as well as tracking hours, commissions, PTO, etc.
  • Record payroll into accounting software.
  • Process 401(k) contributions and loans and enter into accounting software.
  • Track state payroll taxes as needed and respond to tax notices, liaising where necessary with payroll service.
  • Manage TransitChek relationship and process withholdings.
  • Process unemployment claims.
  • Process garnishment notices.
  • Maintain accurate employee information in all databases.
  • Reconcile all payroll related accounts in accounting software.

HR and Related Duties

  • Serve as the point person for all documents related to the onboarding process, ensuring that all new hires are recorded in the various systems.
  • Track 401(k) eligibility and inform employees of eligibility and process.
  • Enter health insurance invoices, tracking new hires and terminations.
  • Communicate with third-party COBRA administrator.
  • Track and collect amounts receivable from employees for personal expenses.
  • Process expense reports for employees corporate credit cards, reconciling payments to expenses.

Job Qualifications

  • College degree or comparable work experience.
  • Computer-literate, proficient in Excel and Quickbooks or other accounting software.
  • Proficiency in Checkpoint or other payroll software a plus.
  • Proficiency in Concur or other expense reporting software a plus.
  • Highly organized and attentive to detail.
  • 2-5 years experience in accounting, payroll or theatrical company management preferred.

The Information Systems Department of The Araca Group is a small team servicing over 200 staff in Araca’s East and West Coast offices and in theaters and retail locations around the world.

  • Art Team: Macintosh OS X v10.9 (Mavericks) thru v10.10 (Yosemite), running Adobe Creative Cloud and Adobe CS6 and MS Office 2011, MS Office 2016

The Information Systems Department of The Araca Group is a small team servicing over 200 staff in Araca’s East and West Coast offices and in theaters and retail locations around the world.

  • Servers: Exchange, File Server, Domain Controller, OpenFire, Point of Sale, QuickBooks, Cyrious, and others.
  • SonicWall and other networking devices such as managed switches and wireless routers
  • VOIP phone systems (FreePBX and Panasonic), iOS devices, Android devices, RIM devices
  • Approximately two hundred workstations, including point-of-sale systems
  • Apple iMacs, Mac Pro, and MacBooks for the Art team (20+ workstations)

About the position

We are currently seeking an IT & Systems Associate to assist with the implementation and maintenance of our IT infrastructure (hardware, software, and networking). This position is based in our New York City office and reports to the Vice President of Information Technology.

Roles and Responsibilities

The IT & Systems Associate will leverage knowledge of industry best practices and standards to ensure that the technology infrastructure of the organization is secure, stable, and scaleable and that the systems meet the needs of staff.

  • Account past and present trends
  • Design concepts for new and existing accounts
  • Current styles and trends in graphic design, typography and illustration

Specifically, the IT & Systems Associate will:

  • Serve in a Help Desk role overseeing the IT needs of personnel in Araca’s offices, theaters, and other retail locations. This includes providing off-hours assistance, as needed, for response to server and system emergencies.
  • Excellent communication and interpersonal skills
  • Maintain the company’s IT infrastructure, including all workstations, peripherals, software, networks and VOIP telephony, with special concentration on our database and information management. This includes maintaining and supporting all Macintosh hardware and software.
  • Oversee hardware/software procurement processes, manage inventory, and assist in budgeting process as it relates to technology infrastructure

Qualifications

  • 2-4 years experience in IT, networking, and system administration, including helpdesk and desktop support.
  • A+ PC Technician, CompTIA Certified (preferred)
  • Experience with Apple/Macintosh systems and supporting Adobe Creative Suite
  • Experience with Windows Active Directory Infrastructure (preferred)
